Outgoing Financial Directors

Outgoing financial and assistant financial directors have access to Chapter Leadership Administration until March 31 of the following year to assist with transition and the year-end audit process (e.g., outgoing 2012 financial directors have access until March 31, 2013). All other outgoing elected board members lose access to the Chapter Leadership Administration system on Dec. 31.

Note: They will not have access to the chapter's bank account after year-end.

How It Works

  • Past financial director and past assistant financial director positions appear on Chapter Leadership Administration pages that list the board. Between March 31 and Dec. 31, these positions will be listed as "VACANT."
  • On Jan. 1, any outgoing financial or assistant financial director not assuming a new board role will automatically be placed in the past financial director or past assistant financial director position online. This allows them access to Chapter Leadership Administration. Chapters do not need to enter anything.
  • On March 31, outgoing financial and assistant financial directors will automatically be removed from the past financial director and past assistant financial director positions. Chapters do not need to remove anyone.

After March 31, these two positions will show as "VACANT." The outgoing directors no longer have access to online administration pages – no exceptions can be made.

Additional Questions & Answers

  • Past financial director and past assistant financial director positions are not elected positions. They are automatically appointed to those roles and have no voting rights for chapter-related matters.
  • Only outgoing financial and assistant financial directors can serve in the past financial director and past assistant financial director positions. For example, an outgoing communications director cannot be added to one of those positions.
  • If a financial or assistant financial director is continuing in that role for the next year, the past financial director and/or past assistant financial director position will continue to be listed as "VACANT" between Jan. 1 and March 31.
  • If a financial or assistant financial director assumes a different board role for the next year (e.g., President), that person will still have access to the system in the next year, and the past financial director or past assistant financial director will continue to be listed as "VACANT" between Jan. 1 and March 31.
  • If a board manually removes an outgoing financial or assistant financial director from the system before Dec. 31, that person will not be automatically placed in the past financial director or past assistant financial director position on Jan. 1.
  • If a board manually removes the person in the past financial director or past assistant financial director position after Jan. 1, contact a representative from the Member Connection Center to add them back on the system.
  • The Jan. 1-to-March 31 time period for past financial directors and past assistant financial directors does not count as serving a term.
