Fund Raiser Activity Checklist

  Hands-on Service Activity Checklist

   
  Definition of fund-raiser: An activity with the purpose to generate funds for an individual, family or qualified not-for-profit organization. Examples of fund-raising activities include a silent auction, a benefit dinner, etc.
   
 
If you are doing a fund-raiser, answer the following:
_____ 1.   Who is the recipient and what is the purpose of this fund-raiser (e.g., to pay medical bills, support a local charity, etc.)?
_____ 2.   What type of fund-raiser will you do (e.g., bake sale, car wash, book sale, etc.)?
_____ 3.   How much money do you want to raise?
_____ 4.   Where will the fund-raising activity be held?
_____ 5.   What is the date/time of the fund-raiser? Be sure to consider alternate plans for rain or unexpected situations that may occur.
_____ 6.   Request funding from chapter leadership board. Verify approval.
_____ 7.   What arrangements need to be made for the location (i.e., reserve hall, tables, chairs, food, etc.)?
_____ 8.   What tasks need to be done?
_____ 9.   Will you have shifts for volunteers? If yes, how many shifts are necessary? How many volunteers are needed for each shift? How will they sign up?
_____ 10.   Are donated items needed? If yes, what items are needed? Who will solicit these items?
_____ 11.  

Develop communications/promotion plan. Promotion materials i.e. posters or bulletin inserts are available through the chapter leadership board.

       
 
Three to Five days before the activity
_____     Verify that enough volunteers signed up. If not, recruit more volunteers.
_____     Remind volunteers of the date, time, location and any special details they should know about the activity.
_____    

Verify funding has been secured.

       
 
One day before the activity
_____     Acquire cash boxes and change ($50 in change usually works well; currency amounts depends on the pricing you will have).
_____     Arrange to have someone take pictures at activity. Have a sign posted saying these pictures may be used for publicity purposes.
_____     Create a sign-in sheet for volunteers (indicate if Thrivent Financial member and number of volunteer hours).
_____    

Check supplies. Do you have enough? Is anything missing? For example, for a bake sale, you will need things to package the bakery (i.e., plastic bags, paper plates, stickers, markers, plastic gloves).

       
 
Following the activity
_____     Thank volunteers (verbally, send e-mail or thank-you note, provide online recognition certificate - print hardcopy or send electronically).
_____     Pay bills and reimburse expenses, if any.
_____     Report activity and send funds and receipts to chapter leaders.
_____    

Chapter pays recipient. Consider if you or other community service team members want to be involved in presenting the check to the recipient. The chapter leadership board also may decide to involve one or more financial representatives or Lutheran Community Service team members to take part in the check presentation.

Popcorn Night Raises Funds for Medical Expenses (photo available)
Volunteers from the Seward County Chapter prepared and served popcorn, drinks and desserts to a crowd of nearly 200 people at the Goehner Melodrama. Funds raised along with supplemental funds through the Care Abounds in Communities® program totaled $2,000 and will help pay an individual's medical expenses.
